We are seeking a highly organized and experienced Administration Officer to join our clients team in Wangaratta to tie the finance and customer service teams with excellent administration and customer service skills.
Responsibilities:
- Prepare and manage export documents, including but not limited to commercial invoices, packing lists, certificates of origin, and customs declarations.
- Collaborate with internal departments and external stakeholders to ensure timely and accurate completion of export-related paperwork.
- Maintain and update export records, ensuring compliance with international trade regulations.
- Provide general administrative support such as data entry, filing, scheduling appointments, and managing correspondence.
- Assist with inventory management, order processing and scheduling.
- Liaise with shipping companies, freight forwarders, and customs brokers to coordinate shipments and resolve any related issues.
- Assist in coordinating logistics, including arranging transportation and tracking shipments.
- Maintain a high level of confidentiality and professionalism when handling sensitive information.
- Provide excellent customer service by serving as a point of contact and liaising with various stakeholders
Requirements:
- Proven experience in administration roles, preferably in manufacturing
- Strong knowledge of export documentation processes, including familiarity with commercial invoices, packing lists, certificates of origin, and customs requirements.
- Proficient in using computer applications such as MS Office (Word, Excel, Outlook) and JDE
- Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
- Strong attention to detail and accuracy in handling documents and data.
- Effective communication skills, both written and verbal, with the ability to collaborate and coordinate with internal and external stakeholders.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Familiarity with inventory management systems and order processing is an advantage.
- Knowledge of international trade regulations and customs procedures will be highly regarded.
