Administration officer required for growing successful business in Wangaratta

We are seeking a highly organized and experienced Administration Officer to join our clients team in Wangaratta to tie the finance and customer service teams with excellent administration and customer service skills.

Responsibilities:

  • Prepare and manage export documents, including but not limited to commercial invoices, packing lists, certificates of origin, and customs declarations.
  • Collaborate with internal departments and external stakeholders to ensure timely and accurate completion of export-related paperwork.
  • Maintain and update export records, ensuring compliance with international trade regulations.
  • Provide general administrative support such as data entry, filing, scheduling appointments, and managing correspondence.
  • Assist with inventory management, order processing and scheduling.
  • Liaise with shipping companies, freight forwarders, and customs brokers to coordinate shipments and resolve any related issues.
  • Assist in coordinating logistics, including arranging transportation and tracking shipments.
  • Maintain a high level of confidentiality and professionalism when handling sensitive information.
  • Provide excellent customer service by serving as a point of contact and liaising with various stakeholders

Requirements:

  • Proven experience in administration roles, preferably in manufacturing
  • Strong knowledge of export documentation processes, including familiarity with commercial invoices, packing lists, certificates of origin, and customs requirements.
  • Proficient in using computer applications such as MS Office (Word, Excel, Outlook) and JDE
  • Excellent organizational skills with the ability to prioritize tasks and meet deadlines.
  • Strong attention to detail and accuracy in handling documents and data.
  • Effective communication skills, both written and verbal, with the ability to collaborate and coordinate with internal and external stakeholders.
  • Ability to work independently as well as part of a team in a fast-paced environment.
  • Familiarity with inventory management systems and order processing is an advantage.
  • Knowledge of international trade regulations and customs procedures will be highly regarded.
